Temporary COVID POD Appointment Assistance Supervisor

Overview

The Opportunity – Examples of Duties

  • Train and supervise a team of scheduling assistants

  • Receive, triage, and track appointment assistance requests including through the call center, the AHD COVID email inbox, and 311

  • Coordinate case management of patients at risk of falling through the cracks (including patients with data entry errors, patients at risk of becoming overdue for their second dose, and patients who received their first dose elsewhere, but require their second dose from Alexandria Health Department)

  • Work with technical lead to send out pre-POD and post-POD communications

  • Clearly and effectively communicate appointment scheduling policies and procedures to a variety of stakeholders (including the public, health department leadership, the call center, the Communications Branch, and appointment assistants) on a continuous basis

  • Liaise with clinical unit to plan small scale POD scheduling

Job Requirements
The Ideal Candidate

To be minimally qualified for this position all applicants must have an associate’s degree; and 3 years of supervisory experience in a customer service setting.


To be considered an ideal candidate, applicants must possess the above as well as: excellent customer service and communication skills; management experience; experience working with electronic medical record and scheduling systems (will be trained on using PrepMod, Virginia Immunization Information System, and an internal appointment making system); proficiency in working with databases including a moderate to high level of Excel proficiency (will work with Excel, RedCap, and a Virginia pre-registration database); experience managing complex workflows; experience sending mass email blasts; highly organized and detail-oriented; experience with case management; de-escalation experience; and a desire to make a positive difference

Notes

*Please note that this is a 90 day temporary position with the possibility of an extension.


Hours: 8-5:00 M-F, possibility of option for weekend work. The ideal candidate is willing to work additional hours when needed to complete tasks.

Location: primarily on site, with occasional telework possible pending probationary period
