Job Description

SUMMARY

The Global Freight Forwarder is responsible for end-to-end management of all (HHE/UAB/POV/NTS) INTL related shipments. Shipments include tenders from General Service Administration (GSA) agencies, Department of State (ITGBL), National Corporate Accounts, and Private Transferees. The Global Freight Forwarder ensures personal effects are transported timely, seamlessly, and cost-effectively. In addition, the Global Freight Forwarder takes complete operational and financial ownership of every shipment tendered.

ESSENTIAL DUTIES AND RESPONSIBILITIES

End-to-End Management as directed by the appropriate US Government Tender of Service, Corporate Account Contract, Private Transferee Contract.

Shipment Coordination (Operational/Financial)

Outbound (CONUS – OCONUS)

  • Ensure shipment registration into IMIS within 24 hours of Move Manager tender.
  • Negotiate final rates with/and secure Origin Service, Line-haul , Ocean/Air Freight and Destination Service Providers for every shipment tendered
  • Arranges third party services, as required.
  • Confirm packing/pick-up dates with OSP prior to pick-up
  • Track/confirm “Ready to Ship” status with OSP, provide/collect documentation.
  • Coordinate/confirm line-haul from OSP to OCONUS Port Agent; provide/collect documentation.
  • Coordinate/confirm ocean booking with Steamship Provider; provide/collect documentation
  • Coordinate, confirm and advise Destination Service Provider (DSP) of shipment arrival; provides supporting documentation for customs clearance.
  • Coordinate with respective OCONUS embassy and consulate offices, as needed.
  • Timely update IMIS and IVUE with status dates, pre-approvals, shipment related information and documents
  • Timely upload of operational documents into IVUE
  • Maintain and monitor shipments daily through the Traffic Management Queue System
  • Communicate shipment status updates consistently to external parties.
  • Troubleshoot and provide solutions to problematic shipment related situations

Inbound (OCONUS – CONUS)

  • Ensure shipment registration into IMIS within 24 hours of Move Manager tender.
  • Negotiate final rates with/and secure Origin Service, Line-haul , Ocean/Air Freight and Destination Service Providers for every shipment tendered
  • Coordinate and confirm Pre-Move Survey Dates with Origin Service Provider (OSP)
  • Confirm packing/pick-up dates and any accessorial services with OSP prior to pick-up
  • Provide “Ready to Ship” status to OSP, audit customs forms for US clearance process.
  • Secure and confirm ocean/air arrangements with OSP.
  • Coordinate/confirm line-haul from OCONUS port agent to DSP; provide/collect documentation
  • Coordinate/confirm customs clearance with Customs Broker; provide/collect documentation
  • Coordinate/confirm Destination Service Provider (DSP); provide/collect documentation
  • Timely update IMIS and IVUE with status dates, pre-approvals, shipment related information
  • Timely upload of operational documents into IVUE
  • Maintain and monitor shipments daily through the Traffic Management Queue System
  • Communicate shipment status updates consistently to external parties.
  • Troubleshoot and provide solutions to problematic shipment related situations.

Shipment Coordination (Financial)

  • Collect/Audit/Dispute/Approve Vendor invoices
  • Capture/update shipment accruals/actuals in Job Costing for specific shipment types
  • Prepare/distribute Interstate invoice to account/transferee for specific shipment types
  • Coordinate with Finance team to assist in shipment profit margin analysis.
  • Thoroughly assess and vet new vendors/suppliers

International Department Assistance

  • Provide general departmental support, as needed

SKILLS AND ABILITIES

  • Manage and coordinate multiple shipments moving in varying directions without compromising shipment quality and efficiency.
  • Excellent multi-tasking capability
  • Make sound routing decisions upon analyzing shipment profitability
  • Understanding of international freight forwarding rate structure
  • Must possess a general comprehension of shipment profit and loss concept
  • Working knowledge of MS Word, MS Excel, MS Office, MS Team, and MS Outlook

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

College Degree (Logistics/Business/Transportation) preferred or equivalent industry experience. Freight Forwarding and/or shipment coordination experience

In-depth knowledge of international shipping chain

Experience with ITGBL and GSA accounts is preferred, but not required.

LANGUAGE SKILLS

Ability to communicate effectively and professionally, both oral and written, with owners, tenants and coworkers. Ability to read and interpret documents. Ability to effectively write routine reports and correspondence.

MATHEMATICAL SKILLS

Ability to perform basic mathematical computations, including ratios, percentages, units of measure, and conversions.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

CERTIFICATES, LICENSES, REGISTRATIONS

FIDI, IAM, RIM Preferred, but not required.

PHYSICAL DEMANDS

To successfully perform the essential functions of this job, the individual will be required to use hands to type, hear well enough to communicate with co-workers and external parties, see well enough to read written items and conduct business using a computer monitor. The employee is required to frequently stand, walk, and stoop. The employee must occasionally lift and/or move up to 25 pounds.
