About the Position

Position is primarily responsible for performing a variety of clerical activities involved in recording and maintaining individual information related to the health-care needs of residents.

Job Duties

  • Completes and processes new resident records in accordance with regulatory guidelines.
  • Files residents’ documentation and reports at all levels of care according to departmental procedures; Pulls and files charts as needed.
  • Assembles and mails resident documentation and orders for physician signature as needed.
  • Assists in scheduling resident appointments with health care practitioners and sends follow-up notices reminding residents of scheduled appointments. Notifies each physician in advance by fax of his/her pending scheduled visits. Notifies nursing supervisor and Assisted Living and Health Care Unit staff of residents’ upcoming visits.
  • Maintains calendar of monthly health care practitioner visits scheduled in the Clinic.
  • Assists with data entry and census maintenance for all levels of care.
  • Answers telephone promptly and assists callers with general information according to departmental guidelines.
  • Receives and follows-through on departmental correspondence and distribution in a timely manner.
  • Monitors and orders stationery and other supplies to ensure adequate availability of supplies when needed.
Job Requirements
High school graduate or equivalent required.
Experience with data entry and proficient computer skills in basic word processing is required.
One year of experience with medical terminology and medical records maintenance with previous secretarial experience in a health care facility is preferred.
Excellent verbal and written communication skills required.
Must possess the ability to deal tactfully with others.
